This role requires a Senior Event Manager with strong, all-round experience in managing events of all shapes and sizes to provide dedicated support to one of our VIP Clients.  This diverse role requires an experienced, skilled multi-tasker with first class event management experience along with strong relationship, communication and commercial skills and the ability to project manage numerous events at once, ensuring exceptional service to your client.  

Working closely with our client the successful candidate will have a proven track record in delivering events in the UK and overseas whilst retaining and developing strong relationships at all levels. Attention to detail, demonstrating value and building long lasting relationships are key for this role.

This role assists with the following types of enquiries:

  • Group Hotel Accommodation (10 or more rooms)
  • Hotel Accommodation for less than 10 when required for Client Events Team requiring accommodation for an event
  • Team Activities
  • Venue Find Services
  • Ground Transport (Cars and Coaches)


  • Manage a portfolio of clients ensuring retention and growth at all opportunities
  • Manage specific client event budgets, ensuring agreed profitability through careful negotiation and commercial knowledge
  • Work closely with the Operations Manager and Events team to offer a seamless and professional service to our clients
  • Liaising with the group travel team on requirements
  • Lead events from conception through to delivery
  • Identify opportunities to increase the value of existing and new business
  • To work with the team to build, maintain and confirm a healthy pipeline of events in line with Reed & Mackay business strategy
  • Support team members with a view to achieving objectives and supporting a continual development ethos
  • Innovate initiatives to capture client feedback designed to improve service and process
  • Endeavour to become a centre of excellence with respect to client satisfaction
  • Have a working knowledge of health and safety law and the impact it has on Reed & Mackay Events Department. Conduct/co-ordinate hotel/venue risk assessments where appropriate
  • Be budget focused and continually look at ways to achieve client cost savings
  • Maximise Reed & Mackay profit at every opportunity

Client Management

  • To become a centre of excellence with respect to client satisfaction
  • To undertake face to face meetings with client when required to do so
  • To be a key member within the client’s dedicated team to build, maintain and manage client’s expectations and processes
  • Offering a seamless and professional service to your client
  • Understanding and following client’s specific processes and policies

Meeting/Event Planning process

  • Lead events from conception through to delivery and event close
  • Conducts RFP process to relevant suppliers
  • Determines setup for function rooms including seating and AV
  • Manages all food and beverage needs

Facilities & Services

  • Identifies services required, and coordinates security procedures
  • Conducts pre-event briefings and post-event wrap-ups with suppliers, clients and facility providers
  • Management of supplier partners and internal support areas to ensure quality and timely delivery
  • Managing relationship with client preferred suppliers

Financial & Contract Management

  • Commercial awareness to ensure best possible outcomes for client and Reed & Mackay
  • Assists client with budget for event which includes negotiating all supplier contracts independently related to a particular event

Knowledge Development

  • Increases Meeting and Events industry knowledge by attending internal training, external events supplier presentations, familiarisation trips, site visits and team meetings
  • Attending supplier events as necessary
  • Providing Out of Hours support as necessary
  • Perform other duties as assigned


  • Previous experience with a Finance based client is an advantage
  • Proven experience in logistics for a variety of events
  • Excellent business development skills
  • 5 years of current relative meeting/event management experience
  • Excellent knowledge of Microsoft Office products, project management tools, delegate management software and venue find software
  • Supplier and Product Knowledge both UK and Overseas
  • Positive people skills
  • Excellent oral/written communication skills to communicate internally and externally
  • Excellent critical thinking skills
  • Strong attention to detail, customer service, and negotiating skills
  • Ability to remain calm in stressful fast-paced situations
  • Ability to set priorities and multitask
