This varied role requires a Senior Event Manager with strong, all-round experience in managing events of all shapes and size. Our events are varied and can consist of group flight only bookings to full onsite event management therefore the willingness to understand all areas of the department is crucial. This diverse role requires a team player with excellent event management experience along with strong relationship, communication and commercial skills and the ability to project manage numerous events at once, ensuring exceptional service to our clients at all times.
The successful candidate will have a proven track record in delivering events in the UK and overseas whilst retaining and developing client business. Attention to detail, demonstrating value and building long lasting relationships are key for this appointment
PRINCIPLE RESPONSIBILITIES:
Client Management
- Endeavour to become a centre of excellence with respect to client satisfaction
- To undertake face to face meetings with clients as and when required to do so
- Working with the Team to offer a seamless and professional service to our clients
Meeting / Event Planning Process
- Lead events from conception through to delivery and financial reconciliation
- Conducts RFP process to relevant suppliers
- Working with other teams (ie Group Travel) as necessary to meet event requirements
Facilities & Services
- Identifies services required, and coordinates security procedures
- Conducts pre-event briefings and post-event wrap-ups with suppliers and facility providers
- Management of supplier partners and internal support areas to ensure quality and timely delivery
Financial & Contract Management
- Commercial awareness to ensure best possible outcomes for client and Reed & Mackay
- Develops budget for event which includes negotiating all supplier contracts independently related to a particular event
- Ensures completion of payment and/or billing process and financial reconciliation
Logistics
- Secures, manages and communicates transportation/travel arrangements working with Group Travel Team as appropriate
- Determines setup for function rooms including seating and AV
- Manages all food and beverage needs
Programme
- Secures speakers/entertainment and manages contractual relationship
- Provides event feedback to all stakeholders through summary and distribution program debrief notes for inclusion in account review
Team
- Working with the team to build, maintain and confirm a healthy pipeline of events in line with the Reed & Mackay business strategy
- Introduce and maintain team support for departmental process and its development
- Assist with on the job advice, guidance and support to new and junior members of the team
- Increases Meeting and Events industry knowledge by attending internal training, external events supplier presentations, and team meetings
- Attending client and supplier events as necessary
- Providing Out of Hours support as necessary
- Perform other duties as assigned
